Case Study 2: Supplier Portal with JS Microservices for Global Procurement Operations
The Challenge
The client, a multinational enterprise managing a network of over 2800 external suppliers, lacked a centralized digital platform for supplier onboarding, qualification, data management, and communication. Existing processes were email-driven and spreadsheet-based, leading to delays, compliance risks, and limited scalability. Supplier data was siloed across procurement, legal, and logistics systems with minimal real-time visibility.
Our Approach
We initiated the engagement with stakeholder workshops to gather functional and technical requirements from procurement, IT, and compliance departments. A key outcome was the definition of core supplier lifecycle stages: onboarding, validation, document management, performance monitoring, and offboarding. The Solution
We designed and deployed a scalable Supplier Portal Platform to manage the complete lifecycle of over 2800 external suppliers. The solution featured a self-service onboarding module driven by a dynamic JSON schema form engine with conditional fields, enabling multi-stage registration workflows, real-time validation of company identifiers (VAT, DUNS), automated email notifications, and secure document uploads with virus scanning and audit tracking.
The supplier dashboard provided role-based views for suppliers, buyers, legal, and finance users, incorporating embedded analytics (Chart.js) to track key KPIs such as OTIF and rejection rates. It also included a document repository with expiry alerts and performant API integration using React Query for real-time data sync. An intuitive admin interface allowed for supplier segmentation by region, risk score, and material category, bulk CSV import/export with schema validation, status transition workflows (e.g., Invited → Active → Suspended), and a real-time messaging module built on WebSockets.
The backend was powered by modular RESTful services using Express and MongoDB, supporting flexible schema definitions. Background tasks such as document processing, email dispatch, and third-party API synchronization were handled via Bull.js worker queues. Integration with external ERP systems (SAP) and other procurement tools was achieved through a custom webhook system.

Data governance was embedded through Azure Purview, enabling metadata cataloging, lineage tracking, and policy enforcement across 3500+ tables. Azure Synapse and Power BI were used to enable secure, self-service analytics with curated, business-aligned data views.
